QuickBooks Online vs QuickBooks Desktop for Accounting Firms (2026)

By Dale Hoffman · Published October 22, 2026

For most accounting firms in 2026, QuickBooks Online is the better standard, and QuickBooks Desktop is the better fit only for specific clients who need its depth. Online wins on accountant tooling, remote access, integrations, and its future with Intuit. Desktop, now centered on the Enterprise edition for new buyers, still wins for clients with heavy inventory, industry-specific workflows, or large transaction volumes, and for firms that want control over their files and upgrade timing.

The choice is no longer purely about features. Intuit stopped selling new subscriptions to QuickBooks Desktop Pro Plus, Premier Plus, and Mac Plus to new US customers after September 30, 2024. Existing subscribers can keep renewing, and Enterprise is still sold, but the direction is clear. We compared the two across six criteria that decide the fit for a firm and its client list.

QuickBooks Online

The most widely used small business accounting platform, with an accountant edition for managing many clients.

Round by round

Accountant tools and managing many clients

QuickBooks Online

QuickBooks Online Accountant is the best firm-side console in small-business accounting. One login lists every client, shows what needs attention, and opens any book with accountant-only cleanup tools. Desktop has a capable Accountant edition and the long-standing Accountant's Copy workflow, but work still happens one company file at a time, often with files passed back and forth. For a firm with dozens of clients, Online is far more efficient.

Inventory, industry depth, and heavy volume

QuickBooks Desktop

This is where Desktop still earns its place. Enterprise offers industry editions and, on higher tiers, advanced inventory and advanced pricing features that Online does not fully match. Clients with large item lists, assemblies, many locations, or a high volume of transactions often find Desktop handles the load more comfortably. Online is built for the mainstream single-entity small business, and it shows at the edges.

Remote access and collaboration

QuickBooks Online

Online runs in a browser, so the client, the firm, and any outside bookkeeper can work in the same live books from anywhere without extra setup. Desktop is installed software. Getting anywhere access means cloud hosting, either through Intuit's own hosting add-on for Enterprise or an authorized third-party host, or a remote access setup the firm manages itself. That works well, but it is another service, another bill, and another thing to maintain.

Long-term availability and Intuit's direction

QuickBooks Online

Intuit no longer sells new Pro Plus, Premier Plus, or Mac Plus subscriptions to new US customers, which leaves Enterprise as the Desktop line a new client can buy. Desktop versions are also retired on a published schedule; the 2023 release was discontinued after May 31, 2026, so staying on Desktop means keeping up with version upgrades. Online is where Intuit is putting its development effort, so it is the safer platform to standardize a client base on.

Control over files and update timing

QuickBooks Desktop

Desktop company files live where the firm or client puts them, and upgrades happen when you install them, not when the vendor ships them. That predictability matters to firms that document procedures carefully. Online changes on Intuit's schedule, and interface or feature changes can break staff habits and internal documentation overnight. For firms that value control, Desktop has the edge.

Ecosystem and integrations

QuickBooks Online

Online has the largest app marketplace in small-business accounting, and most third-party tools connect to it first, from payroll and payments to receipt capture and reporting apps. Desktop has integrations too, but the ecosystem is smaller and many newer apps support Online only. Bank feeds on Online also cover a wider range of institutions with less manual work.

Choose QuickBooks Online if

  • You manage many client books and want one accountant console for all of them
  • Clients, staff, and outside bookkeepers need to work in the same books from anywhere
  • You want the widest selection of integrated apps and bank feeds
  • You are standardizing a client base and want the platform Intuit is investing in

Choose QuickBooks Desktop if

  • The client has heavy inventory, assemblies, or advanced pricing needs
  • The client relies on an Enterprise industry edition or handles a high volume of transactions
  • You want control over where company files live and when upgrades happen
  • You already run Desktop well and can host it in the cloud for remote access

Frequently asked questions

Is QuickBooks Desktop being discontinued?

Not entirely. Intuit stopped selling new subscriptions to QuickBooks Desktop Pro Plus, Premier Plus, and Mac Plus to new US customers after September 30, 2024, but existing subscribers can continue to renew. QuickBooks Enterprise was not affected and is still sold. Individual Desktop versions are retired on a schedule, so check Intuit's discontinuation policy for the version you run and plan upgrades accordingly.

Can I still buy QuickBooks Desktop with a one-time license?

Not from Intuit directly. Current QuickBooks Desktop products, including Enterprise, are sold as subscriptions, with annual and monthly payment options depending on the tier. Budget for Desktop as a recurring cost, the same way you would for Online.

Can QuickBooks Desktop be used from anywhere?

Yes, with hosting. Desktop is installed software, but it can run on a cloud server so staff and clients reach the same company files from any location. Intuit offers a hosting add-on for Enterprise, and authorized third-party hosts support Desktop more broadly. See our QuickBooks Desktop hosting ranking for how providers compare.

Should my firm move every Desktop client to QuickBooks Online?

Not automatically. Most mainstream small-business clients are better served on Online, and moving them simplifies your firm's workflow. Clients who depend on Desktop's inventory depth, industry editions, or reporting may lose capabilities in a move. Review each client's needs before migrating, and test a conversion before committing to a date.

Which version works better with the QuickBooks accountant tools?

Online, for most firms. QuickBooks Online Accountant gives one free console for every client with accountant-only cleanup and review tools. Desktop's Accountant edition is capable, but it works one company file at a time, which is slower when you support many clients.
